Club Rules, Terms & Conditions

All Crow Wood Leisure Club members must always adhere to these rules and regulations. Crow Wood Leisure Ltd. reserve the right to change or alter these rules at any time and you will be notified accordingly. Any dispute or difference arising regarding the interpretation of the club rules shall be determined by Crow Wood Leisure Ltd., whose decision is final.

Saturday/Sunday 8.00am – 8.30pm
Bank Holiday 8.00am – 8.00pm
*Bar closes 30 minutes after facility closure

1. Memberships
a. Membership applications are to be completed and signed by the applicant.
b. Acceptance of a membership application is solely at the discretion of the club management, and reasons need not be given for refusal.
c. When the joining fee has been paid and the membership accepted, the applicant is then classed as a member and is bound by the club rules, terms & conditions.
d. All memberships must be accompanied by a photograph taken by the reception staff when joining.
e. Members must produce their entry key on every visit.
f. All members must complete the pre-screening form before using the facilities and highlight any potential health risks to the best of their knowledge. It is the member’s responsibility to update the screening form in the event of changes to their health.
g. Memberships are not transferable.
h. A replacement key will be charged at £15.00.
i. Guests introduced to the club must be accompanied by the member introducing them, and the
appropriate fee must be paid.
j. Guests must abide by the club rules and become the responsibility of the member who introduced them whilst on the premises.
k. A member must only use facilities within their permitted membership category.
l. Crow Wood Leisure Ltd. reserves the right to refuse membership application to any person whose membership has been previously cancelled or refused.
m. In the event of a direct debit failure due to “insufficient funds”, an administration charge of £5 (£20 in the case of Platinum Memberships) will be added to the outstanding debt.
n. We may increase membership fees automatically each year by up to 1% above the inflation rate according to the Retail Prices Index, or 4%, whichever is higher. If we plan to increase membership fees by greater than the higher of these amounts, we intend to endeavour to provide at least one month’s notice of the price change. This will be done via email, so please ensure your contact details are up to date with the club, as this is our primary method of member communications. As well as the increase above, we reserve the right to increase membership fees at any time to reflect any changes in the increased VAT rate. Again, we will endeavour to give members one month’s notice of this change and increase with all reasonable effort.

2. Membership categories
a. Peak membership allows usage during all opening
hours.
b. Off-peak membership allows usage from 8.00am
– 4.30pm and 8.00am – 8.30pm weekends and
8.00am – 7.30pm Bank Holidays.
c. Health and fitness membership entitles users to all Crow Wood leisure facilities.
d. Junior membership entitles user access to the swimming pool, spa steam room and sauna in
accordance with the club rules (see Rule 5b, 5d, 6a, 6b, and Section 9).

3. Code of conduct
a. There is to be no misuse of the facility, services or equipment provided.
b. A member must not knowingly cause a health or safety hazard to others.
c. A safe and sensible exercise routine must be undertaken at all times.
d. Members must not partake in any activity if they are knowingly unfit.
e. A member must report all thefts, accidents, or suspicious acts to a staff member immediately.
f. Members must use the lockers provided for changing and not leave bags unattended at any time.
g. Members are asked to take care of their locker keys as replacements are charged at £5.00 each.
h. No belongings are to be left in the lockers overnight, as they will be removed.
i. Smoking, including vaping, is not permitted on the premises.
j. Bad language should not be used in any part of the facility.
k. Children must use the correct changing rooms once they have reached the age of 7, or the disabled changing room if available.
l. Training shoes and appropriate clothing must always be worn when using the health club.
m. Any members wishing to cancel a facility they have booked must do so 24 hours before their
starting time.
n. Members must claim any lost property within seven days, as it will be given to charity after this period.
o. All members are asked to vacate all facilities fifteen minutes before closing to allow time for showering and changing.

4. Safety and hygiene
a. Food is not permitted in the changing area, poolside or gymnasium.
b. Glass bottles or glasses are not allowed in the facility outside of the bar area.
c. Children under 16 are not permitted to use the gymnasium.
d. Pets are not allowed inside the facility except guide dogs.
e. Emergency exits are not to be used to leave the building except in the case of fire.
f. Cars are to be parked only in designated areas and must not be left overnight. Crow Wood Leisure Ltd. accepts no responsibility for loss, damage or injury to any persons or property whilst attending the facility.
g. Unless you are displaying a valid disabled badge, you must not park in the designated disabled
parking bays.

5. Swimming pool
a. All members must shower before using the swimming pool, spa, steam room or sauna.
b. Children under the age of 15 must be accompanied at all times by an adult of 16 years or over.
c. Diving and jumping are not permitted.
d. Children must vacate this facility by 7.00pm.
e. Please note that a lifeguard does not supervise the pool, so we ask you to pay particular attention to the club rules regarding the pool.

6. Steam room, spa and sauna
a. Children under five must not use the steam room, sauna or spa.
b. Children under the age of 15 must be accompanied at all times by an adult of 16 years or over.
c. Shaving in these facilities is not permitted.
d. The above facilities should not be used by anyone suffering from high blood pressure or
a cardiac irregularity.
e. Members should only use these facilities after reading the rules situated adjacent to each facility.

7. Membership cancellation
a. When cancelling a membership, one whole month’s notice must be given to the club in writing.
b. Memberships are calculated for the whole calendar month. If you provide your cancellation notice during a month, we will treat this as if it was received on the first day of the following month, and therefore, the notice period will run from the first day of the following calendar month. This will afford you continued access to the club, according to your membership classification, for that entire month. However, should you provide your cancellation notice up to and including the fourth day of the month, Crow Wood will accept the notice as though it was received on the first day of the month, and your membership will terminate at the end of that same month with no further membership fees payable.
Example Illustrations:
1. You provide us with your cancellation notice on the 21st of March. Your entire month’s cancellation notice begins on the 1st of April; you pay one final direct debit payment (i.e., the 1st of April in this example) following receipt of your cancellation notice. Your membership notice runs until the end of April when your membership will terminate.
2. Your cancellation notice was received on 2nd March. Notice period treated as though it commenced 1st March, no further Direct Debit payments taken for April and beyond. Membership and club access terminates on 31st March.
c. Your membership cancellation notice must be given in writing. You can do this by email (memberservices@crowwood.com), post, or by hand to Health Club Reception. Please note that your notice becomes effective once we receive it. Therefore, we strongly suggest that you obtain proof of receipt that we have received your cancellation request. If you send your cancellation notice by post, send it via recorded delivery so we can sign for the delivery. If you hand your notice in at Health Club reception, request a receipt or email confirmation. If you send us notice by email, ask for a delivery receipt or confirmation email. We will confirm receipt of your cancellation notice within seven days of receipt. If you do not receive confirmation within seven days, contact us immediately so we can check our records. d. Members who cancel their membership will become eligible to pay the joining fee if they wish to rejoin.
e. Crow Wood Leisure Ltd. reserves the right to cancel any membership at any time.
f. If a member decides to cancel their membership, all monies paid in advance will be deemed non-refundable.
g. Any member using facilities outside of their allotted membership times will have that membership cancelled. No refunds will be given.
h. Members can suspend their memberships for complete calendar months for a payment of £6
per month. The minimum period for suspension is one calendar month.
i. Any member taking action, whether legal or otherwise, against Crow Wood Leisure Ltd and its connected companies shall have their membership terminated. No refunds will be given for any money already paid, and further, the member shall be responsible for the entire month’s notice referred to at 7a.
j. All subscription cancellations are charged at full subscription cost.

8. Physical activity
a. All new members must undergo an induction of the gymnasium by a Crow Wood instructor. Members who do not adhere to this do so at their own risk.
b. Each member must monitor their own physical activity and condition whilst at the club.
Should any unusual symptoms occur, the member must stop exercising immediately and contact a staff member.
c. Every member must complete the pre-screening form before partaking in any physical activity. Should any of the stated conditions change during their membership, they must immediately inform an instructor.
d. It may be necessary for an instructor to gain more information regarding your physical condition from your doctor so they can provide you with a safe and suitable exercise programme. It is strongly advised that a member provide this information when requested. (This will be at the
members own expense).

9. Children’s – membership
a. Children under 14 must be accompanied by a responsible adult aged 16 or over at all times when visiting the club. See 5b.
b. Adults responsible for children must ensure that the club rules are adhered to by those they are
responsible for.
c. No adult member can be responsible for more than two children under the age of 5 at any one time when using the pool.
d. Children must leave the pool area by 7.00pm and the building by 8.00pm
e. When children are attending classes, they must be escorted to and from the class by the adult
responsible for them.
f. When using the pool area, there is to be no jumping or diving, and the Jacuzzi must not be used as a play area.
g. Children under five cannot use the steam room, sauna or Jacuzzi.
h. When using the lounge area, children should not run around so as to disturb other members or risk accidents when hot food is being served.
i. A member is eligible to register a maximum of two children under the age of 4 to enable the children to use the facilities free of charge.
j. Children who are not registered will be refused entry.
